WooCommerce Website Setup to Easy POS

You can now integrate your WooCommerce online store with the Easy POS System. This allows you to manage online orders directly from your POS system. Follow the steps below to complete the setup.


Setup Process Overview

This process involves two main setups:

  1. WordPress Setup – Configuring WooCommerce to generate API keys.
  2. Easy POS Backoffice Setup – Connecting WooCommerce with Easy POS.
  3. POS App Order Management – Viewing and completing WooCommerce orders from the POS app

Step 1: WordPress Setup

  1. Login to WordPress and go to the Dashboard.
  2. Go to Settings and copy the Site Address (URL). Save this for later use.
  3. Go back to the Dashboard.
  4. Go to WooCommerce and open WooCommerce Settings.
  5. Click the Advanced tab.
  6. Select REST API.
  7. Click the Add Key button.
  8. Provide a description and set Permissions to Read/Write.
  9. Click Generate API Key.

Note: A Consumer Key and Consumer Secret Key will be generated. Copy these keys and save them in a secure place. The secret key will not be visible after you leave the page.

Step 2: Easy POS Backoffice Setup


  1. Login to Easy POS Backoffice.
  2. Go to Settings and open the Features section.
  3. Enable the WooCommerce / Shopify option.
  4. Click Save.

Once enabled, an "E-commerce Integration" option will appear in the Settings section.

  1. Click E-commerce Integration.
  2. Click Add E-commerce.
  3. Select WooCommerce from the dropdown menu.
  4. Enter the required details copied from WooCommerce:
  5. Select the Shop and Terminal.
  6. Click Save.

What Happens Next?

  • Your WooCommerce store is now linked to Easy POS.
  • When a customer places an order on your WooCommerce website, it will appear in the POS app with a red notification.
  • Once the order is processed in the POS app, it will be recorded in the Backoffice Reports under "Digital Orders".

Step 3: POS App Order Management

How to View and Complete WooCommerce Orders from the POS App

Once your WooCommerce store is integrated with the Easy POS system, you can manage online orders directly from the POS app. Follow the steps below to view and complete orders efficiently.

Step 1: Open Digital Orders

  1. Open the Easy POS app.
  2. Tap on "Open Orders" from the main menu.
  3. Navigate to the "New Digital Orders" section, where all incoming WooCommerce orders will be displayed.

Step 2: Accept or Reject Orders

  1. Select the order you want to process.
  2. Choose to Accept or Reject the order.

Step 3: Process the Order

  1. Tap the "View" button on the accepted order.
  2. Review the order details and ensure all items are correct.
  3. Proceed to complete the payment if needed.

Step 4: Complete the Payment

  1. If the order requires payment collection, tap "Charge" to process the transaction.
  2. For prepaid orders (via WooCommerce payment gateway), the order will directly proceed to the Payment Completion Page once accepted.

How to View WooCommerce Orders and Their Status in the Easy POS Backoffice Web Portal

You can monitor and manage WooCommerce orders from the Easy POS Backoffice. Follow these steps to check order status and download reports.

Step 1: Access the Digital Orders Report

  1. Log in to the Easy POS Backoffice.
  2. Navigate to the Reports section.
  3. Select "Digital Orders" from the available report options.

Step 2: View Order Status

  • The report will display all WooCommerce orders with their current status:
  • Pending – Order is placed but not yet completed.
  • Completed – Order has been processed and finalized.

Step 3: Download Order Reports

  • To save the report, select Download as PDF or Download as CSV as needed.

Special Notes

  • Always use Easy POS as the master system—do not create products directly in WooCommerce after integration.
  • Ensure product codes, names, and IDs match between Easy POS and WooCommerce to prevent duplication and sync errors.
  • Product images should ideally be uploaded via the WebStore Products section for better quality.
  • Regularly backup Easy POS data before making major changes to avoid data loss.
  • One-way sync is enforced: Easy POS → WooCommerce only. WooCommerce changes will not reflect back in Easy POS.
